Template — message to new client after first booking (email/text)

Use this after a new client books their first session with you in JaneApp. Goal: welcome them, confirm modality, and reduce confusion/no-shows.

Message (copy/paste)

Hi [Client first name],

This is [Your name] from Head & Heart Counselling. I’m looking forward to meeting you and I’m glad you were able to book in.

Just a quick note before your appointment on [DATE] at [TIME]:

  • [MODALITY: In person / Zoom / Jane video]

[IF IN PERSON]

  • [Add any in-person arrival instructions the client needs]

[IF ZOOM]

  • I will send you a Zoom link on [DATE] by [TIME].

[IF JANE VIDEO]

  • You can access the Jane video session via [where the client clicks/what they should look for in Jane].

If you need to reach me before then, you can contact me at [YOUR EMAIL] [and/or TEXT: YOUR NUMBER].

Also, please use the same email address you booked with when interacting with Jane (this helps prevent duplicate profiles).
