When therapy ends: notify admin (associate procedure)

Audience: Associates
Goal: Close the loop consistently and support client retention/return.

What to do

When a client’s therapy has come to an end (planned ending):

  1. Notify admin (same day if possible):
    • client name
    • date of last session
  2. Admin will send a short follow-up email to the client:
    • thanking them,
    • inviting optional feedback, and
    • letting them know they’re welcome back anytime.

Clarifying note (common therapy patterns)

Many clients do not have a formal “ending” to therapy. They may simply pause for a while and then return later. This does not need to be brought to the attention of admin.

Please use this procedure when a client is coming to the end of their therapy (i.e., the client has communicated an ending or you have mutually agreed that therapy is concluding).

Why this matters

  • It creates a respectful closing experience.
  • It makes it easier for clients to return in the future.
