Documentation requests (letters, forms, summaries) — Associate Handbook

Purpose

Clients sometimes request documentation (e.g., a summary letter of services). This policy sets expectations for timelines and fees.

How a client requests documentation

  • The client can submit the request to their counsellor.

Processing time

  • We aim to process documentation requests within 10 business days.

Fees

  • A documentation fee applies.
  • The counsellor will provide an estimate in advance.
  • The associate may consult with admin before quoting the documentation fee.
  • Note: documentation fees may vary by counsellor depending on the nature of the request. Clients should be informed accordingly.

Notes (important)

  • Documentation may be used for insurance, employment, or legal contexts. If a client indicates court involvement, the counsellor should proceed thoughtfully and within scope.
