Client profiles: creating/updating

Goal: Keep client profiles accurate so booking, communication, and documentation work smoothly.

Before you create a new client

  • Search for the client first (to avoid duplicates):
    • name (and common spelling variations)
    • email
    • phone number

Avoid creating a duplicate profile, instead use profiles that already exist. If you think a duplicate profile exists for your client, please advise admin.

Creating a client profile (when needed)

Please only add a new client profile when you are actually booking a session for that client.

If you need a new client added without booking a session (for example, adding the second partner for a couples session that was booked under the other partner’s name), please contact admin to create the profile.

When creating a new client profile, ensure the basics are correct:

  • Full name (as client prefers)
  • Email (important: use the email they booked with)
  • Phone number (if used)

Third-party payer note (non-insurance)

If someone other than the client will be paying (e.g., parent/relative) and/or should receive invoices while the client receives text reminders, follow:

Updating a client profile

If a client changes email/phone:

  • Update the existing profile rather than creating a new one.

Privacy note

  • Only collect/store information that is needed for care, communication, and clinic operations.
