DRAFT — Time off + shift change notice (Associate Handbook)

Vacation / extended time off

  • Vacation / extended time off: please advise Katherine a minimum of 45 days prior to the beginning of the time off.
  • Vacation / extended time off should be negotiated and confirmed with Katherine in advance.
  • Please coordinate calendar blocking with admin.

Associate responsibilities (client communication + access plan)

It is the responsibility of the associate to notify all their clients of the time off and:

  • whether you will be working remotely while off (or not working during that period)
  • how clients can access sessions with you during that time (or whether sessions will pause)
  • any rescheduling plan and expected reply times while you are away

JaneApp schedule changes (coordinate with admin)

Please communicate with admin to make any shift changes in JaneApp to accommodate the time off (availability, in-person shifts, and any temporary remote coverage).

Sick time (last-minute time off)

If you book off sick, it is your responsibility—if you are able—to:

  • notify all impacted clients of canceled appointments
  • reschedule clients as appropriate
  • block off shifts/availability in JaneApp

If you are too sick to do this, you can ask admin to support you in notifying/rescheduling/blocking your JaneApp availability.

Shift changes (shared office)

  • Changing assigned in-person shifts requires admin approval.
  • If you are requesting a change in your in-person office hours, please coordinate in collaboration with admin.
  • If you are making a permanent change to your schedule, please notify admin.

Exceptions

Any exceptions to these policies should be made as requests to Katherine.
