When therapy ends: notify admin (associate procedure)
Audience: Associates
Goal: Close the loop consistently and support client retention/return.
What to do
When a client’s therapy has come to an end (planned ending):
- Notify admin (same day if possible):
- client name
- date of last session
- Admin will send a short follow-up email to the client:
- thanking them,
- inviting optional feedback, and
- letting them know they’re welcome back anytime.
Clarifying note (common therapy patterns)
Many clients do not have a formal “ending” to therapy. They may simply pause for a while and then return later. This does not need to be brought to the attention of admin.
Please use this procedure when a client is coming to the end of their therapy (i.e., the client has communicated an ending or you have mutually agreed that therapy is concluding).
Why this matters
- It creates a respectful closing experience.
- It makes it easier for clients to return in the future.
